DBE Indonesia - Office Manager

An NGO-managed education project operating in seven provinces in
Indonesia seeks qualified candidates for Office Manager (Based in
Jakarta)
position.

The Office Manager is a member of, supervises, and assists in managing
the administrative support team in all office management tasks on the
project, funded by USAID. Job responsibilities concentrate on
coordinating and overseeing the administrative management and support
services for of Jakarta office and providing clerical support services.
The Office Manager is under the direct supervision of the Deputy Chief
of Party.

Job Responsibilities

* Work closely with project staff to ensure that office
administrative systems complement those of the Home Office and assure
compliance with USAID guidelines and regulations;

* Organize logistical and administrative support for
conferences, seminars, workshops, and training events, which includes
tasks and subtasks related to travel, meals, translation services, and
document distribution under the project;

* Supervise local support staff including Driver(s),
Receptionist/ Administrative Assistant, and Administrative Assistants;

* Provide general administrative and logistical support to
expatriate and local short-term specialists;

* Working with Admin Assistants, oversee maintenance of adequate
supply of expendable office supplies, arranging purchases of these items
as needed.

* Manage Administrative Assistants to support project technical
activites including training, by providing both logistical and
administration functions;

* Supervise Administrative Staff in facilitating all logistical
aspects of project administration including arranging travel, processing
travel and field visits;

* Ensure that all office equipment and office infrastructure are
in working order; work with Administrative Assistant to arrange repairs
with service vendors

* Manage all matters pertaining to the operation of the office
cleaning, maintenance, allocation, furniture, service, etc.

* Manage office vehicle usage log, routine maintenance, insurace
coverage and renewal, and licensing and registration of Jakarta vehicles
(STNK)

* Maintain and update office inventory list generated by the
procurement officer

* Oversee compliance of provincial office sharing agreements

Requirements

* Proven experience successfully managing administrative
processes in a complex, fast-moving environment, overseeing procurement,
applications for business and dinas visas for long-term expatriates;

* At least 3-5 years administrative management experience with
large-scale international projects;

* Knowledge of processes involved in USAID approvals, and
foreign visa applications;

* Excellent computer skills including, Microsoft word, excel,
Outlook exchange email system;

* Versed in office administration duties including faxing,
photocopying, answering phones, arranging meetings;

* Bachelors degree or 5 years administrative experience
required;

* Fluency in English and Bahasa Indonesian required.
