SCUK - Field Administration Assistant

JOB VACANCY

Save the Children (SCUK) is a leading international NGO working to create a better world for children. We are seeking experienced national staff to work for a primary education project in NTT funded by AusAID as part of the Australian Government’s official overseas aid program. The following position available:

FIELD ADMINISTRATION ASSISTANT
(Code: FAA-NTT, 1 post based in Kupang)
The Field Administration Assistant reports to the Office Manager and is responsible for implementing and undertaking administration functions in the Kupang office and to ensure optimum support to the teams in the other offices in NTT.

MAIN DUTIES:
· Perform reception functions, including answering the telephone and welcoming visitors to the field office.
· Arrange and distribute all incoming and outgoing correspondence.
· Arrange for hotel accommodation as needed.
· Manage updates to contact lists, visitor’s briefing memos, resources, etc.
· Coordinate booking and purchasing of plane tickets for staff.
· Take meeting minutes and coordinate the distribution of meeting minutes and memos as appropriate.
· Coordinate the purchasing of office equipment and stationary for the Kupang office.
· To arrange payment for domestic staff and monthly office and expatriates’ houses bills then record it in a log book
· Distribute telephone and hand phone monthly bills to all staffs to pinpoint personal calls and issue the invoices
· Other duties as assigned.

REQUIREMENTS:
Education and Experience Background:
§ Bachelor degree in administration/ secretary/ finance/accounti ng or any other social science
§ Minimum of 2 years of experience in administration or related field with INGO
§ Good understanding of English and computer/internet
§ Ability to work with minimum supervision
§ Good sense of prioritisation and conscious about meeting deadlines
§ Understand impact of conflict and natural disasters on children and communities
